What to say instead of “good job”

Why it can fall flat

“good job”

It leaves out what the person actually did, so “good job” can feel automatic, or even patronizing from someone senior. Usually you want them to know you noticed and that it mattered.

Say this instead

  1. 01

Thanks for covering the client call today. Your summary of next steps was clear, and it saved the rest of us a lot of time.

    Someone you manage · Chat

Pick this when a team member did something specific, since naming it shows you noticed and tells them what to repeat.

  2. 02

That demo went really well. Your walkthrough of the reporting screen answered questions before anyone had to ask them.

    Coworker · Chat

Send it right after an event, when a concrete detail makes the praise feel real instead of polite.

  3. 03

Thank you for how you ran the planning meeting. Setting out the priorities at the start made the next steps easy to follow.

    Boss · Email

Praise to a manager lands best when it describes the effect on you or the team rather than grading them.

  4. 04

Thank you for the clear brief and the quick feedback this week. It has made it much easier for us to deliver on time.

    Client · Email

Clients who made your work easier get appreciation here, with no hint that you are marking them.

  5. 05

Well done on today's launch. You stayed calm when the link broke and fixed it fast. Thank you.

    Someone you manage · SMS

A quick, warm text fits after a stressful moment when you are away from your desk.

  6. 06

Thanks for being so patient while we sorted this out. The screenshots you sent helped us find the cause much faster.

    Customer · Email

After a support issue, this credits the customer for their part in solving it.

  7. 07

Thank you for the regular updates throughout the process. Knowing the timeline at each stage made it easy for me to plan.

    Recruiter / HR · Email

Recruiters who handled things well will appreciate this, and it keeps the relationship warm for later.

Nice work on the onboarding doc, Lou. The step-by-step screenshots will save the new starters a lot of questions.

What to avoid

  • Sending only “good job” when you have time to add one specific detail would waste the chance to be useful.
  • A “but” straight after the praise cancels it out.
  • Praise that sounds like marking someone's work backfires, especially with a manager or client.
  • Repeating the same wording for everyone makes it start to sound automatic.
  • If the effort or the way they handled things stood out, praising only the result misses the point.
