Alternatives to “just checking in” at work

Why it can fall flat

“just checking in”

Your message may sit unanswered because the reader can't tell if you want a reply, a decision or nothing at all. It can also read as passive-aggressive when you are really waiting on a deadline.

Say this instead

  1. 01

Hi Harpreet, I'm following up on the proposal I sent on Tuesday. Could you let me know by Friday if you'd like to go ahead or need any changes?

    Client · Email

Use this when a client has gone quiet, since it names the proposal and gives a clear date for a reply.

  2. 02

Hi Rory, do you have time this week to look at the budget draft? I'd like your feedback before I send it on Thursday.

    Boss · Chat

A busy manager gets the task and the deadline stated plainly, so you can ask for input without piling on pressure.

  3. 03

Hey Ravi, where are you with the slides? I need them by 3 pm today so I can finish the deck.

    Coworker · Chat

Reach for this when your own work depends on theirs, because it asks for status and explains why the time matters.

  4. 04

Hi Meera, how is the report coming along? If anything is blocking you, tell me and I'll help clear it.

    Someone you manage · Chat

This asks for a status update and offers help, which suits someone you manage.

  5. 05

Hi Suresh, could you tell me the timeline for the next step in the hiring process? I'd appreciate an update on when I might hear back.

    Recruiter / HR · Email

After an interview with no word back, it asks a specific question instead of just prompting a reply.

  6. 06

Hi Mr. Haddad, Anna here about your repair quote. Reply YES to book a slot, or tell me what you'd like changed.

    Customer · SMS

A customer who hasn't answered a quote gets two easy ways to respond.

  7. 07

Hi Theo, the signed contract is still outstanding. Can you send it back by Wednesday so we can keep the agreed start date?

    Client · Chat

When a missing document holds up the work, it ties the request to a consequence in neutral words.

  8. 08

Hi Uma, quick reminder about the 2 pm review today. Are you still able to join?

    Coworker · SMS

As a short same-day nudge, it helps when you need to know whether someone is attending.

Hi Harpreet, I'm following up on the project timeline I sent last Tuesday. Could you confirm by Friday whether the proposed dates work for your team? If they don't, tell me which dates suit you and I'll update the plan. Best regards, Anna

Hi Rory, do you have five minutes today to look at the draft agenda for Thursday's meeting? I'd like to send it out by 4 pm.

What to avoid

  • Don't send a follow-up that has no question, request or date in it.
  • Phrases like “as per my last email” sound irritated, so leave them out.
  • Vague wording like “any update?” is weaker than naming the exact item you need.
  • Following up again within hours rarely helps unless the deadline is genuinely urgent.
