Saying “your payment is pending” at work
Why it can fall flat
“your payment is pending”
The word “pending” is vague and passive, so the reader can't tell whether you're waiting on them, on a system, or hinting they're late. Better to say where the payment stands and what you need from them, if anything.

Hi Jennifer, invoice 1042 still shows as unpaid on our side. Could you check where it stands and let me know when we can expect it?
Client · Email
Good for a first, friendly nudge, since it names the invoice, avoids blame and asks for a clear next step.

Hi Elliot, we haven't received your payment for order 5518 yet. Could you check that it went through? Thanks.
Customer · SMS
Short and neutral, which suits a card or transfer that may simply have failed and needs a quick prompt.

Your expense claim hasn't been paid yet. It's still with finance. I've asked for an update and will pass it on when I hear back.
Someone you manage · Chat
Fits when someone you manage is waiting for money, because it explains the status without promising a timeline.

Hey Darnell, the vendor payment is still showing as pending in the system. Do you know if it needs anything from us before it can go out?
Coworker · Chat
Helpful when you suspect a missing approval or detail, since it asks a specific question instead of just stating the status.

Quick check: the payment for the March invoice is showing as incomplete on our side. Could you confirm whether it has been sent?
Client · Chat
Suits an ongoing client relationship where a casual, direct question is welcome and you want a yes or no.

Hello Mr. Okonkwo, our records show your payment for the annual plan hasn't been completed. Please let us know if you'd like help finishing it.
Customer · Email
Polite and service-minded, useful when the customer may be stuck at checkout rather than ignoring the bill.
Examples
Hi Jennifer, I'm checking on invoice 1042 for the website update, which was due on March 14. It still shows as unpaid on our side. Could you let me know whether it has been sent, or if anything is holding it up? Thanks very much, Alex
Hi Darnell, the vendor payment for the printing order still shows as pending on my screen. Is there an approval or detail missing that I can help with?
What to avoid
- Using “pending” by itself, without saying who is waiting on what, leaves the reader guessing.
- Accusatory lines like “you still haven't paid” can backfire when a bank or system delay is possible.
- Guessing at reasons or dates you can't confirm only creates more confusion later.
- Naming the invoice, order or claim every time lets the reader know exactly which payment you mean.
- Ending without a clear next step, such as asking them to confirm, check or reply, leaves the message hanging.
