What to say instead of “the documents have been sent”

Why it can fall flat

“the documents have been sent”

When a note says “the documents have been sent,” the passive voice hides who sent what, to whom, and when, so the reader may feel brushed off. Confirming that the files are on their way, naming them, and saying what happens next works better.

Say this instead

  1. 01

Hi Camila, I've attached the signed contract and the payment schedule. Let me know if anything looks unclear.

    Client · Email

Use this when the email itself carries the files, since naming them lets the client see at a glance that nothing is missing.

  2. 02

I've sent the two vendor quotes to Marcus and copied you. Shout if you'd like to see anything before he replies.

    Boss · Chat

Good for a quick update to a manager, because it says who has the files and leaves room for input.

  3. 03

The budget sheet and draft deck are in your inbox now. Can you confirm they opened okay?

    Coworker · Chat

Fits when you need a fast check that the files arrived and open before the other person starts work.

  4. 04

Hi Imogen, I've attached my updated CV and proof of ID, as you asked. Please confirm you've received both.

    Recruiter / HR · Email

Shows you did what was asked and requests a reply, which helps when a recruiter's inbox is busy.

  5. 05

Hi Arin, your invoice and warranty papers have been emailed to you. If you can't see them, a quick look in spam may help.

    Customer · SMS

Suits a text to a customer, and the spam tip comes across as help, so the tone stays friendly.

  6. 06

I've shared the onboarding documents in the team folder. Please read the first two before Thursday's session.

    Someone you manage · Chat

Try it with someone you manage, because it says where the files are and what you expect them to do next.

  7. 07

The documents went to your email at 10:15. Would you like me to resend them to a second address?

    Client · Chat

Gives the client a time to check against and offers a simple fix if the files went to the wrong place.

  8. 08

Hi Astrid, I've sent the signed forms to HR and copied you. No action is needed from you for now.

    Boss · Email

Right when your manager only needs to know it's done and has nothing to follow up on.

Hi Abigail, I've attached two PDFs: the service agreement (first file) and the payment schedule (second file). Please sign the agreement and return it by Friday. Let me know if any figures in the schedule need a second look. Kind regards, Lou

Hi Declan, the lease and the inventory list are in your inbox now. Could you confirm they arrived and open fine?

What to avoid

  • Leaving out the next step is a common slip, so if you need a signature, reply or decision, say what and by when.
  • A bare “Check your inbox.” feels curt, though a helpful pointer such as looking in spam is fine when it's clearly meant to help.
  • Telling someone the files are sent before you've checked that the attachments or links work will only cause a second message.
  • Several short follow-ups are harder to act on than one clear message that lists the file names.
