“Thank you for reaching out”: how to say it politely
Why it can fall flat
“thank you for reaching out”
“Reaching out” is a stock opener that shows no sign you read the message or know what comes next, so it can feel like a template. Most writers want to show they paid attention and say what happens next.

Right for a team member who raises a concern, as it shows you take it seriously and proposes a next step.

Thanks for sending the draft, Riley. I'll read it properly after lunch and leave comments by 3 pm.
What to avoid
- Opening every reply with the same stock line is a habit to drop, so start with what the person actually said.
- Vague promises like “will get back to you” need a rough time attached or they leave people waiting.
- Stacked thanks, such as “thanks so much for kindly reaching out”, read as padding when one thank-you would do.
- Thanking someone for reaching out and then ignoring their actual request leaves them wondering if you read it.
