What to say instead of “thank you”

Why it can fall flat

“thank you”

After someone helps you out, a bare “thank you” is polite but can feel automatic, especially when they did something specific. Most writers want to show what they valued and what difference it made.

Say this instead

  1. 01

Thanks for making time to review the proposal. Your notes on pricing made the next draft much stronger.

    Boss · Email

Use it after feedback or a review, because it names the help and what came of it.

  2. 02

Thanks for covering the handover while I was out. It made my first morning back a lot easier.

    Coworker · Chat

Good for everyday favors, since it says what they did and how it helped you.

  3. 03

Thank you for sending the files so quickly. It means we can stay on schedule.

    Client · Email

Suits a client who has done their part promptly, and it shows why the speed mattered.

  4. 04

Thanks for catching the error before the report went out. Good eye, and I appreciate you flagging it.

    Someone you manage · Chat

Praising a specific action from someone you manage encourages them to repeat it.

  5. 05

Thank you for walking me through the role today. I appreciated the clear overview of the next steps.

    Recruiter / HR · Email

A courteous follow-up after a call that stays specific and doesn't gush.

  6. 06

Thanks for your patience while we sorted this out. I appreciate you giving us the time.

    Customer · Email

Fits a delayed fix or reply, since it acknowledges the wait and doesn't over-explain.

  7. 07

Thanks for the lift this morning, it really helped. See you at 9.

    Coworker · SMS

A short, warm text for a small favor outside the office.

  8. 08

Thanks for the quick reply, that unblocks me. I'll pick it up from here.

    Boss · Chat

Useful when you needed a fast answer, because it confirms you're moving forward.

Hi Fatima, Thank you for sending the revised budget this morning. Having the numbers early meant I could finish the summary before the 3 pm meeting. I appreciate the extra effort. Best regards, Ganesh

Thanks, Tegan, that walkthrough saved me a lot of time. I got the report set up in about ten minutes.

What to avoid

  • Skipping the detail, since a thank-you that names the action feels more sincere than a general one.
  • Stacking several thanks in one message, such as “thanks so much, thank you, many thanks”, can read as insincere.
  • A request placed straight after the thanks can make the thanks look like a setup.
  • Sarcasm or a vague “thanks” when you are actually annoyed will usually be noticed and land badly.
