What to say instead of “sorry”
Why it can fall flat
“sorry”
Readers often hear a bare apology as vague, since it skips the fix and leaves ownership unclear. Saying it again can come across as anxious or careless, so aim to own the problem, name the next step and protect their trust.
Say this instead
- 01
The report is finished and attached. It reached you later than I said it would, and I should have flagged the delay sooner.
Boss · Email
Late but finished work fits here, since it leads with the status and the fix, then owns the delay in one line.
- 02
Apologies for the mix-up with the delivery date. The correct date is Thursday, and I've updated the schedule so you can see it.
Client · Email
A short apology followed by the correction shows you care and keeps the message from turning into a long explanation.
- 03
Apologies, I'm running late for our 3pm call. I can join at 3:15pm, or we can move it to tomorrow. Which suits you?
Client · SMS
For a last-minute delay, one text gives a brief apology, a new time and a choice.
- 04
I missed the handover note this morning. It's in the shared folder now. Tell me if anything in it is unclear.
Coworker · Chat
Between peers, this suits a small slip that affects their work because it states the fix and invites questions.
- 05
Sorry for the mistake on your invoice. A corrected copy is attached, and it replaces the earlier one.
Customer · Email
Billing errors suit this one, as the brief apology stays warm and the replacement copy is clearly marked.
- 06
Thanks for flagging that the schedule slipped. That was my miss on the handoff. Let's look at what we can move to get back on track.
Someone you manage · Chat
If you manage the person, owning your part first keeps the conversation on solutions instead of blame.
- 07
Sorry for the slow reply. I can speak on Friday at 11am or 2pm if either works for you.
Recruiter / HR · Email
A brief apology for a late answer, followed straight away by your availability, keeps the exchange moving.
- 08
I'm going to miss the 5pm deadline for the slides. I can send a rough version at 6pm if that helps. What would you prefer?
Boss · Chat
Telling your manager before the deadline passes, with a practical option to choose from, makes this one work.
Examples
Hi Pallavi, The revised proposal is attached. I missed the 2pm deadline yesterday because I was waiting on figures from finance, and I should have told you sooner. Apologies for the extra wait. Let me know if you'd like a quick call to go through it. Best, Sidney
Quick update: I missed yesterday's deadline for the test results, but the summary is in the shared folder now. I should have told you earlier that it was slipping.
What to avoid
- Repeating sorry several times in one message is unnecessary, since one clear apology is enough.
- A long explanation before you say what you are doing about it buries the part the reader needs.
- Phrases like “sorry if” or “sorry but” make the apology sound conditional.
- When you explain the cause, pointing at a person or team shifts attention from your fix to blame.
- If the next step or new time is missing, the other person has to ask for it.
