A kinder way to say “please call me back”
Why it can fall flat
“please call me back”
People usually say “please call me back” when they're short on time and want an answer, but with no reason or timing it can read as a curt order. A short reason and a time window that suits you get the call you want.
Say this instead
- 01
Hi Smita, it's about the Friday deadline and quicker to talk through. Let me know what time works for you.
Boss · Chat
Giving a reason and leaving the timing to your manager keeps the request respectful and clear.
- 02
Could you give me a call when you're free? It's a quick one about the handover notes.
Coworker · Chat
Low-urgency requests suit this one, since the short reason tells them it won't take long.
- 03
Would you be able to call me between 2 and 4 pm today on 555 0142? I'd like to confirm the delivery details with you directly.
Client · Email
When you need an answer soon, the time window and number make it easy for them to act.
- 04
Hi Mr. Campbell, it's Esther about your repair booking. Could you call me back on 555 0173 when you have a moment? Thank you.
Customer · SMS
A name, a topic and a number keep it short and friendly, so the customer knows who is calling and why.
- 05
Can you ring me once you're out of your meeting? Nothing urgent, I just want to go over next week's rota.
Someone you manage · Chat
Saying it isn't urgent keeps the person you manage from worrying while you still ask for the call.
- 06
Thank you for reaching out. I'd be glad to talk by phone. Could you call me back tomorrow after 4 pm on 555 0119?
Recruiter / HR · Email
A clear slot lets the recruiter plan, and the tone stays warm without committing you to anything.
- 07
Can you call me back in the next 10 minutes? The supplier changed the delivery time and I need your input.
Coworker · SMS
Real time pressure calls for this one, as the deadline and reason share a line and make the urgency believable.
Examples

Hi Kunal, could you call me back when you're out of your meeting? I need two minutes on the venue booking before I confirm it.
What to avoid
- Offer a window such as “today before 5” if timing matters, and use “when you're free” if it doesn't.
- A bare “call me” with no reason can make people assume something is wrong, so don't send one.
- Save “ASAP” and “urgent” for matters that truly are.
- Repeating the request on several channels within a few minutes comes across as pushy.
- Put your number in the message rather than assuming they already have it.
