Alternatives to “I'm declining your proposal” at work
Why it can fall flat
“I'm declining your proposal”
“Declining” is the word that does the damage, because it sounds like a formal ruling with no thanks and no reason attached. You usually want a clear no that still respects the effort behind the proposal.

Hi Swati, Thank you for sending the proposal for the new reporting process. I've reviewed it with the team, and we won't be going ahead with it, mainly because it would add steps to a workflow that already runs well for us. I appreciate the effort you put into it. Kind regards, Matthew
Hi Elliot, thanks for the proposal. I've read it through and I'm going to pass on it. Happy to talk through my reasons if you'd like.
What to avoid
- Leaving the decision vague with lines like “maybe later” is unfair when your answer is really no.
- Piling on reasons or justifying the decision at length weakens it, and one clear reason is enough.
- A cold one-liner with no thanks can sting when the person clearly put in effort.
- Criticizing the person is off the table, so keep the talk on the proposal, the timing or the fit.
- Hold your answer until you can keep the tone even if you're annoyed right now.
