Saying no and setting boundaries

Better ways to say “I'm busy”

Why it can fall flat

“I'm busy”

“Busy” often tells the other person their request doesn't matter, and it gives them nothing to act on. A better reply says you can't take this on right now and names what has your focus.

Say this instead

  1. 01

I'm at capacity with the monthly report and the client handover today. If I take this on, one of those will slip. Which would you like me to prioritize?

    Boss · Chat

Use this when your boss adds a task, since it lays out the trade-off instead of simply refusing.

  2. 02

I can't take this on right now, I'm heads-down on a deadline. It might be worth asking Devon, or checking who has space this week.

    Coworker · Chat

This suits a colleague asking for a favor when you want to decline and still point them somewhere useful.

  3. 03

Hi Jyoti, Thank you for sending this over. My schedule is full this week, so I won't be able to get to it. I wanted you to know now so you can plan around it. Best regards, Peyton

    Client · Email

Try it when a client sends extra work, because it is clear, polite and gives them time to plan elsewhere.

  4. 04

I can't take on a new request today because my focus is on the release. Please bring it to the next planning meeting so we can weigh it against everything else.

    Someone you manage · Chat

Pick this when someone you manage brings a new ask and you want to protect priorities without dismissing them.

  5. 05

Hello Martin, Thanks for getting in touch. I don't have room for a call at the moment, so I'll have to pass for now. Kind regards, Geeta

    Recruiter / HR · Email

It fits an unsolicited approach where you want to decline briefly and leave the door open.

  6. 06

I can't talk right now. Please message me the details and I'll read them when I'm free.

    Customer · SMS

Reach for this when a customer calls or texts at a bad moment and you need to move the talk to writing.

  7. 07

Can't talk now, I'm in the middle of something. Message me what you need and I'll see it when I'm out.

    Coworker · SMS

A quick text brush-off like this still invites them to share the question.

  8. 08

Thanks for thinking of me for this. With my current workload I can't take it on and still do my existing work properly. Happy to talk through priorities if that helps.

    Boss · Email

Choose this to decline a new project in writing while keeping the focus on the quality of your work.

Hi Manish, Thanks for asking me to help with the new supplier presentation. I'm fully committed to the budget review until the end of the week, so I can't take this on without letting that slip. If the presentation is the higher priority, let me know and we can talk through what to move. Best regards, Nisha

Thanks for asking. I can't pick this up today, I'm focused on finishing the audit notes. Could you check with Ravi, or raise it at tomorrow's stand-up?

What to avoid

  • Don't just say “I'm busy” with no reason or context, and instead give one short fact about what you're focused on.
  • Phrases like “I'm too busy for this” make the request sound like a nuisance.
  • Inventing an excuse is unnecessary, since a simple, true “my schedule is full” is enough.
  • Piling on apologies or long explanations invites the other person to negotiate.
  • Saying “maybe later” when you mean no leaves the person waiting for an answer.
