What to say instead of “if that's okay with you”

Why it can fall flat

“if that's okay with you”

The word “okay” turns a plan you have already made into a fake question, which can sound hesitant or overly deferential. You usually want to state the plan and still give the other person an easy way to object.

Say this instead

  1. 01

I'll send the draft to the team on Thursday morning. Let me know if you'd like me to handle it differently.

    Boss · Chat

Use this when your plan is set and you want your manager to step in only if they disagree.

  2. 02

I'm planning to take the 3 pm slot for the demo. Does that work for you?

    Coworker · Chat

A direct question is easier to answer than a vague conditional, so the reply usually comes faster.

  3. 03

I'll send the revised quote by Friday. If a different day would suit you better, just tell me.

    Client · Email

The plan comes first, then the client gets a simple way to ask for a different day.

  4. 04

I'd like to move our one-to-one to Wednesday. Does that work on your side?

    Someone you manage · Chat

Your authority stays clear while you still check that the change is workable for them.

  5. 05

Could we speak at 10 am on Tuesday? If another time is easier for you, I'm happy to look at alternatives.

    Recruiter / HR · Email

Proposing a specific time shows flexibility and confidence at once.

  6. 06

Hi Zoe, our technician will arrive between 2 and 4 pm tomorrow. Reply here if that doesn't work and we'll find another slot.

    Customer · SMS

One short text gives the customer the plan and a clear way to change it.

  7. 07

I'll update the shared tracker at the end of each day. Tell me if you'd prefer a different format.

    Coworker · Email

Routine updates fit here, since you are proceeding unless someone objects.

  8. 08

Running 10 mins late for the 9:30. I'll start with the budget item unless you'd prefer another order.

    Boss · SMS

For a quick heads-up, this stays brief and still leaves room for your manager's preference.

Examples

Email

Hi Daniel, Thanks for sending over the notes. I'll circulate the final summary to the wider team tomorrow afternoon. If you'd like to add anything before then, send it to me by lunchtime. Best regards, Gemma

Chat

Quick update: I'll book the meeting room for Tuesday at 11. Does that time work for you, or would another slot be easier?

What to avoid

  • Adding the phrase to every message makes ordinary updates sound like requests for permission.
  • If the decision is already made, state the plan and invite objections instead of pretending to ask.
  • Piling up softeners like “if that's okay, no worries if not, just whenever” in one message weakens it.
  • Leaving the other person unsure what you want is a trap, so name the time, action or date.
