What to say instead of “hello”
Why it can fall flat
“hello”
The word “hello” alone gives the reader nothing to act on, so they wait and guess what you want. Usually you want to greet them warmly and get to the point in one message.
Say this instead
- 01
Morning Victor, could you send me the updated tracker by end of day? Thanks.
Someone you manage · Chat
Morning Victor works when the deadline is real, since greeting, request and time share one line and send no mixed signals.
- 02
Good morning Ana! Just checking in on the signed contract for the Q3 project we sent last Tuesday.
Client · Chat
Good for a client who has gone quiet, because her name and the named contract make clear what you are chasing.
- 03
Hello Molly, I hope your week is going well. I'm writing about the revised quote we discussed on Monday.
Client · Email
Suits a client you have emailed only a few times, when a warm but slightly formal opener fits better than a casual hi.
- 04
Hi Emerson, do you have two minutes today to look at the draft budget? I'd like your view before I send it on.
Boss · Chat
With a boss, this fits when you need their time, since it greets, states the need and says how long it takes.
- 05
Hey Leila, quick one: are you still on for the 3 pm review? I want to be sure I bring the right slides.
Coworker · Chat
Friendly and quick, this suits a check with a peer because the topic is clear from the first line.
- 06
Hi Wayne, it's Bethany from the finance team. I'm running about 10 minutes late for the site visit. See you soon.
Coworker · SMS
Texting someone who may not have your number saved, this tells them who you are and why you are writing.
- 07
Hello Ms. Khan, thank you for your message about the analyst role. I'm interested and free for a call on Thursday or Friday afternoon.
Recruiter / HR · Email
Replying to a recruiter, this greets them, names the role and offers specific times in a few lines.
- 08
Hi Mr. Allen, this is Elliot from customer support. Your replacement part has arrived and is ready to collect any time today.
Customer · SMS
When a customer may not recognize the number, this names you, your role and the news straight away.
Examples
Hi Molly, Thanks for sending the draft schedule this morning. Could you confirm whether the Thursday workshop can move to 2 pm? I need to book the room by Wednesday. Best wishes, Amit
Hi Neha, quick reminder that the vendor invoices need to be approved by 4 pm today. Let me know if anything is holding you up.
What to avoid
- Sending just “hello” or “hi” and then waiting for a reply before you say what you need.
- If no one has replied, a second “hello?” helps little, so repeat the original request instead.
- Splitting the greeting and the request into two messages leaves the reader with a ping that has nothing in it.
- A long run of pleasantries before the point makes a quick chat message slow to read.
