A kinder way to say “at your earliest convenience”
Why it can fall flat
“at your earliest convenience”
Your request may sit unanswered, or the reader may feel quietly pushed, since no date is attached and the tone is stiff. You likely want a prompt reply, so name the time and keep it warm.

Could you send me the updated figures when you get a chance? I'd like to have them by Thursday afternoon.
Coworker · Chat
Casual wording suits a peer, and the Thursday deadline keeps the request clear.
- 02
Could you look over the draft when you have a moment? I'd like to send it on Friday, so feedback by Thursday would help.
Boss · Email
Your manager gets a reason and a date, so you aren't dictating their schedule.
- 03
Please send back the signed form when you can. We can start work as soon as we have it.
Client · Email
Tying the request to what the client gains makes it feel helpful instead of pushy.
- 04
Please update the tracker today, ideally before 4 pm. Tell me if anything is getting in the way.
Someone you manage · Chat
A firm time plus an invitation to flag problems suits someone you manage.
- 05
Whenever you have news on timing, please let me know. I'm hoping to make my decision by the end of next week.
Recruiter / HR · Email
Polite on the surface, it still lets the recruiter know when you plan to decide.

Hi Mrs. Doyle, please reply with your preferred delivery slot when you can. We need it by Wednesday to book the van.
Customer · SMS
Brevity fits a text, and the deadline and its reason are both included.
- 07
Can you call me back when you're free today? I need two minutes on the invoice.
Coworker · SMS
Timing, length and topic are all stated, so the quick nudge is easy to act on.
- 08
Please check and confirm your details as soon as you're able. Your order will ship once we have your confirmation.
Customer · Email
The next step is obvious and linked to the shipment the customer is waiting for.
Examples
Hi Melissa, Could you send me the signed vendor agreement when you get a chance? I'd like to pass it to finance by Wednesday so the first payment isn't delayed. If anything in it needs another look, just tell me and we'll sort it out. Thanks, Gavin
Hi Lou, could you share the slides when you have a minute? I'd like to read them before the 3 pm meeting tomorrow.
What to avoid
- Leaving out any time frame, which makes the request easy to put off.
- Piling on formal phrases such as “kindly revert” or “at your esteemed convenience”.
- Using the phrase for something truly urgent, when the real deadline should be named instead.
- Following up with a vague “just checking in” that has no date or reason attached.
- Sounding falsely relaxed when you actually need an answer today.
