A kinder way to say “to whom it may concern”
Why it can fall flat
“to whom it may concern”
It leaves unclear who is meant to act, so “to whom it may concern” reads like a form letter that nobody owns. The writer usually wants the message to reach whoever handles it, with a request they can act on.

Hi team, I'm hoping someone here can help. The March invoice from our vendor shows the wrong PO number. Who handles invoice corrections?

Hello Facilities team, I'm writing about a broken lock on the third-floor supply room. Could you pass this to whoever handles repairs? Thanks, Aarti

For a department you've never dealt with, naming the team takes the place of the generic greeting.

Hello Accounts team, invoice 1042 is still open. I don't have a named contact for payments, so please share this with whoever handles them. Thank you.

When a client's website lists no individual contact, this keeps a payment reminder polite and less like a form letter.

Hello, I'm applying for the Data Analyst role on your careers page. I couldn't find a hiring manager's name, so I'm sending this to the recruiting team. Thank you.

Hi Rowan, a supplier emailed our general inbox about a delivery change and I can't tell who owns it. Could you tell me who handles supplier orders, or take it from here?

Your manager is a sensible fallback when the owner is unclear, and this asks for a name or a handover.

Hi, I'm locked out of the shared reporting dashboard and don't know who grants access. Could whoever manages permissions reply here? I need it for Thursday's review.

Hello Facilities team, Room 4B is showing as booked for Thursday, June 12, 2–3 pm, and my team needs it for a workshop. I'm not sure who manages bookings, so I'm sending this to your team inbox. Could you confirm who has the booking, or forward this to whoever manages rooms? Thank you, Alice Reddy
Hi everyone, I'm posting here because I don't know which team owns expense approvals. Our March claims have been stuck on 'pending' for a week. Could whoever handles them tell me what's needed?
What to avoid
- Other stock salutations like “Dear Sir or Madam” feel just as stiff and assume gender.
- Before settling on a generic greeting, check the website, org chart or a colleague for a name.
- A vague subject line slows things down, so say what the message is about to get it routed quickly.
- Put your request in the first two sentences rather than burying it under background.
- Sending to a large group without saying what you need and by when leaves everyone assuming someone else will respond.
