“This is frustrating”: how to say it politely
Why it can fall flat
“this is frustrating”
Hearing “this is frustrating” can leave the other person feeling blamed, so they get defensive and nothing moves. A better move is to flag one specific blocker and get it fixed.
Say this instead
- 01
I'm struggling to make progress because the requirements keep changing. Can we agree what's fixed before I carry on?
Boss · Chat
Use it when shifting scope is the real issue, since it points to the cause and asks for a clear decision.
- 02
I'm getting stuck on this handoff. Can we sort out who does what so it stops going back and forth?
Coworker · Chat
Try it when a shared task keeps bouncing between people, because it asks for clarity instead of assigning blame.
- 03
Hi Ingrid, the delays on approvals are making the timeline hard to hold. Could we agree a sign-off date this week so we stay on track?
Client · Email
This suits a client whose slow responses affect delivery, since it links the delay to the deadline and asks for a date.
- 04
I'm concerned this has come up again. Can we talk through what happened and how we stop it repeating?
Someone you manage · Chat
Pick it for a repeated issue with someone you manage, because it states your concern and opens a problem-solving talk.
- 05
Hey, this issue is wearing on me. Can we talk for five minutes today and sort it out?
Coworker · SMS
A quick, low-pressure conversation with a colleague outside work chat is where this one fits.

Hello Mr. Mwangi, we've gone back and forth on this a few times. If you can confirm the details in one reply, I can close it today.
Customer · Email
Customers who send scattered replies are a good match, because the message offers a clear way to finish.
- 07
Hello Sasha, the interview has been rescheduled three times and it's hard to plan around. Could you confirm a fixed time, or tell me if plans have changed?
Recruiter / HR · Email
Repeated rescheduling is the case here, as it states the impact and asks for a firm answer either way.

Hi Deepa, the changing priorities are becoming hard for me to manage. Could we go over the top three so I can plan the week properly?
Boss · Email
Competing tasks piling up is the moment for this one, since it asks for a ranking instead of just complaining about the load.
Examples
Hi Martin, The release date has moved twice this month, and it's making it hard to plan testing properly. Could we agree on a fixed date by Thursday? Once we have that, I can set out a schedule for the team. Thanks, Aisha
Hi Andre, I keep getting the same data file in three different formats, and it's slowing me down. Can we agree on one format today so I can finish the report?
What to avoid
- Phrases like “you always” or “you never” turn a problem into an accusation.
- Sending the message while you are still angry is a mistake, so wait until you can name the specific problem.
- A complaint with no request leaves the reader stuck, so end with what you need, such as a decision, a date or a short call.
- Sarcasm or exclamation marks to show how annoyed you are will usually get noticed more than your actual point.
- A group channel is the wrong place to vent when a private message to the person would do.
