A kinder way to say “reminder: payment is due”
Why it can fall flat
“reminder: payment is due”
A bare “reminder: payment is due” reads like an automated notice, and with no date, amount or next step the person may ignore it. You want to be paid on time and keep the relationship warm.

Hi [Name], a quick reminder that invoice [number] for [amount] is due on [date]. Let me know if you need anything from me to process it.
Client · Email
Send it before the due date, since it is friendly, gives the details and offers help without hinting at a problem.

Good for routine reminders because it is short, includes the payment link and keeps a warm tone.
- 03
Hi [Name], our records show invoice [number] was due on [date] and is still open. Could you let me know when we can expect payment?
Customer · Email
Right after the date has passed, as it states the fact neutrally and asks for a timeline instead of accusing.
- 04
Hey [Name], gentle nudge: your share of the team gift, [amount], is due today. You can send it by [method] whenever suits you.
Coworker · Chat
Small informal sums between colleagues suit this one, since the light tone keeps things friendly.

Boss · Chat
Pick it when your boss's sign-off is the blocker, because it names the deadline and the exact action needed.
- 06
Hi [Name], the personal charges on your company card from last month, [amount], need to be repaid by [date]. Can you confirm once it's done?
Someone you manage · Email

Hi [Name], I'm following up on invoice [number] for [project], which was due on [date]. Could you confirm when payment will be made?
Recruiter / HR · Email
A freelancer chasing an agency can use it, as it is specific, polite and asks for a date to plan around.

What to avoid
- Sending a bare “payment is due” with no invoice number, amount, date or way to pay leaves the reader guessing.
- ALL CAPS, repeated exclamation marks or passive-aggressive phrases like “as previously stated” will sour the tone fast.
- Late fees or consequences don't belong in a first reminder unless your agreement already says so.
- Keep the message about the invoice and the date rather than about the person.
- Chasing in several channels at once feels like pressure, so pick one and follow up on a set day.
