How to say “I'm out of office” professionally
Why it can fall flat
“I'm out of office”
Someone waits days for a reply because “I'm out of office” gave no return date and no backup. You want to say you're unavailable, for how long, and who handles anything urgent.
Say this instead
- 01
Heads up: I'm away from Wednesday to Friday this week and back on Monday. If you need anything from me before then, let me know today.
Boss · Chat
Send it a few days ahead so your boss can plan, since it gives a clear window for asking.
- 02
I'm off today, so I can't pick this up until tomorrow. If it can't wait, Finley might be able to help.
Coworker · Chat
Handy for a single day off when someone pings you with a task and you want to point them elsewhere.
- 03
Thank you for your message. I'm away until Monday, May 12 and not checking email. For anything urgent, please contact Mehwish Shah at mehwish@example.com.
Client · Email
An auto-reply or a manual note both work, because it gives your return date and a route for urgent matters.
- 04
I'm unavailable today and back tomorrow. For anything urgent, call Jason on the team line. Otherwise, save it for tomorrow.
Someone you manage · SMS
Short enough for a text, and it tells your team what is worth interrupting you for.
- 05
Thanks for reaching out. I'm away until the 20th, so I can't take a call before then. Could we speak after that date?
Recruiter / HR · Email
This keeps the door open without committing you to a time while you're away.
- 06
Thanks for getting in touch. I'm away from the office until Tuesday, June 3, so a reply may take longer than usual. Urgent orders can go to support@example.com.
Customer · Email
Customers learn to expect a delay and get somewhere to go instead of waiting.
- 07
I'm not in the office today and away from my laptop. Please call only if it's urgent.
Coworker · SMS
Good for a same-day absence when people can reach you by phone but not by email or chat.

Hi Divya, Thank you for your note. I'm away from Monday, June 9 to Friday, June 13 and won't be checking email during that time. If something needs attention sooner, please contact Kevin Reed at kevin@example.com. Kind regards, Chloe
Hi Jon, I'm off tomorrow and back on Thursday. If the report needs anything from me, send it over today and I'll look at it before I log off.
What to avoid
- Sending a bare “out of office” with no return date leaves people unsure when to try again.
- Leaving people guessing who to contact for urgent matters pushes the problem back onto them.
- Over-explaining where you are or why adds noise, since a date and a contact are enough.
- Promising “I'll reply as soon as I'm back” sets a expectation you may not meet, so only say it if you will.
