Saying “I'm declining the offer” at work

Why it can fall flat

“I'm declining the offer”

It leaves out any thanks and gives no sense that you value the offer, so it can read like a cold form letter. Most people want a clear no that still shows appreciation.

Say this instead

  1. 01

Thank you for offering me the Marketing Analyst role. After careful thought, I've decided not to accept it. I appreciate the time your team spent with me and wish you all the best.

    Recruiter / HR · Email

Formal reply to a written offer, since it thanks them, says no plainly and needs no reason.

  2. 02

Hi Priya, thanks for the offer. I've decided not to take the role, so please close my application. I really appreciated your time and help.

    Recruiter / HR · SMS

Good when the recruiter has been texting you and expects a quick, clear answer.

  3. 03

Thanks for reaching out and for the offer. I won't be accepting it, as the role isn't what I'm looking for right now. I'd be glad to stay in touch for the future.

    Recruiter / HR · Chat

Suits a LinkedIn-style message where you want to decline and keep the contact.

  4. 04

Thank you for offering me the team lead role. I've thought it over and I'd prefer to stay in my current position. I'm grateful you considered me.

    Boss · Email

Turning down an internal promotion is easier here because gratitude comes first and the role itself isn't criticized.

  5. 05

I appreciate the counter-offer and the effort behind it, but my decision is final and I'll be leaving as planned. Happy to talk through a smooth handover.

    Boss · Chat

Helpful after you've resigned and are being pressed to stay, as it stays firm and shifts the talk to the handover.

  6. 06

Thank you for inviting us to take on the website redesign. We won't be able to take it on, and I'd rather tell you now so you can find the right partner quickly.

    Client · Email

Refusing a project goes well this way because the client gets a fast, clear answer to plan around.

  7. 07

Thanks for offering me the Saturday slot, but I'm going to pass this time. Hope you find someone to cover it soon.

    Coworker · Chat

Casual requests among peers fit this one, which is friendly, short and leaves no doubt that the answer is no.

Examples

Email

Hi Darnell, Thank you for offering me the Operations Coordinator position and for the time you and the team spent talking with me. After careful thought, I've decided not to accept the offer. I enjoyed meeting everyone and wish you the best with the search. Kind regards, Anita Wright

Hi Cameron, thanks so much for the offer. I've decided not to accept it, but I really enjoyed speaking with your team and would be happy to stay in touch.

What to avoid

  • Leaving the offer unanswered or waiting until the deadline has passed only makes things worse.
  • Criticizing the pay, the team or the process is a mistake, even if that is the real reason you're saying no.
  • If your answer is final, writing “maybe later” or “not at the moment” invites follow-ups.
  • Over-apologizing or writing long explanations backfires, since a short, warm no is easier to accept.
  • Declining by text or chat is a poor choice when the offer came by formal email, unless the recruiter has already moved to that channel.
