A kinder way to say “I'm declining the job offer”
Why it can fall flat
“I'm declining the job offer”
The word “declining” sounds formal and final, like a door closing with no thanks attached. You want to give a clear no and still be gracious to people who spent time on you.

Recruiter / HR · Email
A clear, warm default for most situations when you want to be polite without giving a long explanation.

Good when the recruiter usually texts you and you want to give a quick heads-up before a written reply.

Thank you for offering me a place on your team. I enjoyed our conversations, but I've decided the role isn't the right fit for me, so I'm turning it down.
Boss · Email
Use it with the hiring manager who would have been your boss, since it gives a reason without criticizing the job or the company.

Coworker · Chat
Right for someone who referred you, since it shows gratitude and keeps the relationship in good shape.

Client · Email
Helps when a client offers you a job and you want to say no while protecting the working relationship.
- 07
Thank you for the offer. I have accepted another position, so I'm withdrawing from your process and declining the role. I appreciate your time and consideration.
Recruiter / HR · Email
Pick this when another offer is the reason, because it is direct and leaves no doubt that your answer is final.
Examples
Dear Ms. Patel, Thank you for offering me the Operations Analyst position. After thinking it over carefully, I've decided not to accept the role. Hi Reese, thanks so much for the offer and for all your help along the way. I've decided not to accept it, but I really appreciated the chance to talk with the team. Best wishes to you all.
What to avoid
- Don't leave the person waiting; reply as soon as you've made up your mind.
- Long lists of reasons or criticism of the company, the pay or the people only make the message harder to receive.
- Vague wording like “I'm not sure” or “maybe later” confuses things when your answer is a firm no.
- Silence or ghosting the recruiter is a poor way to decline.
- Promises you may not keep, such as “I'll definitely reapply”, are better left out.
