What to say instead of “feel free to contact me”
Why it can fall flat
“feel free to contact me”
Readers skim past it as filler, and they still don't know how or when to reach you. Usually you just want to say you're available and make the next step easy.
Say this instead
- 01
If anything in the proposal is unclear, just reply to this email and I'll go through it with you.
Client · Email
After sending a document, this names the situation and points to the easiest way to respond: replying to the email.
- 02
Ping me if you get stuck on the export step. I'm at my desk until 5.
Coworker · Chat
Handing over a task is the moment for this one, since it gives a specific trigger and says when you're around.
- 03
If you'd like more detail on the figures, I can walk you through them whenever suits you.
Boss · Email
A manager's time stays protected here because the detail is offered, not pushed on them.
- 04
If you want to talk the plan through, tell me a time that works this week and I'll make space.
Someone you manage · Chat
Someone you manage gets to start the conversation and choose the time, which keeps the pressure low.
- 05
Hi Pooja, your repair is done and ready to collect. Call or text this number if you have any questions. - Jesse
Customer · SMS
Short update texts suit this, since the customer sees exactly which number to use.
- 06
Thanks for the details on the role. If you need anything else from me, such as references or my availability, just let me know.
Recruiter / HR · Email
After an interview or call, listing what you can provide makes you sound organized and ready.
- 07
Hi Siobhan, I'm online till 7 tonight. Call or text if you want to go over the report before tomorrow.
Boss · SMS
Before a deadline, your boss may need you fast, so stating when you're free is useful.
- 08
Happy to jump on a quick call if that's easier than typing it out. Just tell me what time suits you.
Client · Chat
Complicated questions can bog down a chat thread, so offering a quick call can save a lot of typing.
Examples
Hi Anita, I've attached the updated schedule for the March launch. The main change is that testing now starts on Tuesday instead of Monday. If you'd like me to go through any of the dates with you, just reply and tell me when you're free. Best regards, Rohan
Hi Gareth, the new template is in the shared folder. If anything looks off when you fill it in, message me here and I'll take a look.
What to avoid
- Don't add it to every email out of habit, and keep it for moments when you expect or welcome a reply.
- Stacking it with “don't hesitate” and “any questions” makes the closing sound like a script.
- If you need an answer, ask directly, for example “Please reply by Friday.”
- Always give a way to reach you, such as a reply, a call or a time, so the other person knows the next step.
